How to Install an Automatic Lubrication System: Pump, Distributor and Piping Guide

A well-designed lubrication system does more than deliver grease or oil to a machine. It delivers the right amount of lubricant to the right point at the right time—and does so consistently throughout the machine's operating cycle.
That is why installation matters just as much as pump selection.
From our experience working with centralized lubrication systems, many problems that appear to be pump failures actually start with the installation: incorrectly sized piping, poor connections, trapped air, contaminated lubricant, or a distributor that is not configured correctly.
Whether you are installing an automatic grease lubrication system or an oil lubrication system, taking the time to plan and commission the system properly can make a significant difference to reliability and maintenance costs.
Here is how we approach lubrication system installation.


Map Out the Lubrication Points First


Before selecting a pump or laying out the piping, start with the machine. BAOTN engineers normally evaluate lubrication points before selecting pump models.
Identify every point that needs lubrication and determine what each component requires. Bearings, gears, guideways, bushings, chains, and other moving parts may have very different lubrication requirements.
At a minimum, determine:
  • The number and location of lubrication points

  • Whether each point requires oil or grease

  • Lubricant viscosity or grease consistency

  • Required lubrication frequency

  • Approximate lubricant consumption

  • Operating temperature

  • Distance between the pump and lubrication points

This information forms the basis of the system design.
A typical centralized lubrication circuit follows a simple path:
Pump → Main line → Distributor → Branch lines → Lubrication points
The actual configuration depends on the application and the lubrication method being used. A progressive grease system, for example, will be configured differently from a centralized oil lubrication system.
Starting with the lubrication points helps ensure that the rest of the system is sized around the machine's actual requirements rather than around the specifications of a particular pump.


Select the Pump Based on the Complete System


Once the lubrication requirements are clear, you can select the appropriate pump.
One common mistake is choosing a pump based only on the number of outlets. Outlet number is important, but it must be considered together with lubricant volume, pressure requirement and distribution method.
We also look at the total lubricant demand, required pressure, pipeline length, lubricant characteristics, operating temperature, power supply, and control method.
For grease systems, pumpability is particularly important. The grease must be suitable for the pump and capable of moving through the entire piping network under the expected operating conditions.
For centralized grease applications, it is often more effective to consider the pump, distributor, piping, and control components as one system.

Choose a Practical Pump Location


The pump should be installed somewhere that is protected but still easy to access.
Avoid locations exposed to excessive heat, water, dust, or severe vibration. At the same time, the reservoir should be easy to inspect and refill during routine maintenance.
A few extra minutes spent choosing the right installation position can save considerable maintenance time later.
Make sure there is enough room around the pump for:
  • Reservoir filling

  • Inspection

  • Electrical connections

  • Pressure checks

  • Routine maintenance

For automatic systems, plan the control wiring at the same time. Depending on the application, the lubrication cycle may be controlled by a dedicated controller, machine control system, or PLC.


Plan the Piping Before Installation


Piping is one of the most important parts of a centralized lubrication system, and it is also one of the easiest places to introduce problems.
Before installing the tubing or hose, work out the complete route from the pump to the distributor and from the distributor to each lubrication point.
Keep the routing as direct as practical. Avoid unnecessary bends, excessive pipe lengths, sharp turns, and areas where the piping could be damaged by moving machine components.
Cleanliness is equally important.
Dust, metal particles, or other contaminants inside a pipe can restrict lubricant flow or damage system components. Cut tubing cleanly, remove debris, and keep open pipe ends protected until the connections are made.
Every fitting should be properly secured, but avoid creating excessive stress at the connection points.


Install and Configure the Distributor Correctly


The distributor controls how lubricant is delivered to individual lubrication points, so its configuration needs to match the system design.
In a progressive grease lubrication system, for example, lubricant moves through the distributor in a defined sequence. A blocked branch or incorrectly connected outlet can therefore affect the operation of the entire circuit.
During installation, confirm that:
  1. The correct distributor has been selected.

  2. Each outlet is connected to the intended lubrication point.

  3. Branch lines are clearly identified.

  4. Connections are secure.

  5. The distributor remains accessible for inspection.

For larger systems, labeling the branch lines is a small but useful step. When troubleshooting is required later, clear identification can save a great deal of time.


Fill the Reservoir With the Right Lubricant


The lubricant itself is an important part of the system design.
For grease lubrication, check the required grease type and consistency before filling the reservoir. The grease needs to be compatible with both the equipment and the lubrication pump.
Grease that is too difficult to pump can create unnecessary pressure and delivery problems, particularly in systems with long or complex pipelines.
The same principle applies to oil systems. Oil viscosity should be selected according to the equipment requirements and operating conditions.
Avoid mixing different lubricants unless their compatibility has been confirmed. During filling, keep the reservoir and lubricant clean. Contamination introduced at this stage can travel through the entire lubrication circuit.


Prime the System and Remove Trapped Air


A newly installed lubrication system usually needs to be primed before it can operate reliably.
After filling the reservoir, run the pump according to the appropriate commissioning procedure and check lubricant flow through the system.
Start at the pump and work your way through the circuit:
Pump → Main line → Distributor → Branch line → Lubrication point
This makes it easier to identify where a problem begins.
Trapped air can cause inconsistent lubricant delivery, so make sure the system is properly primed before normal operation.
Most importantly, do not judge the system simply by whether the pump motor starts. A running motor does not necessarily mean that lubricant is reaching the machine.
The real test is whether lubricant reaches each lubrication point as intended.


Check for Pressure Problems and Leaks


Before putting the machine into continuous operation, inspect the complete system.
Look for:
  • Loose fittings

  • Grease or oil leakage

  • Damaged tubing or hoses

  • Abnormally high or low pressure

  • Blocked lines

  • Incorrect distributor connections

  • Unusual pump noise

Pressure monitoring can also provide useful information during operation. A sudden increase in pressure, for example, may indicate a blocked line, while insufficient pressure may point to leakage, an empty reservoir, or another delivery problem.
The goal of commissioning is not simply to confirm that the pump operates. It is to verify that the entire lubrication circuit is functioning correctly.


Test Every Lubrication Point


Before considering the installation complete, check every lubrication point.
Run the system through a lubrication cycle and confirm that lubricant reaches each intended location.
If one point is receiving lubricant while another is not, increasing the pump output is not necessarily the answer. Check the distributor, piping, fittings, lubricant condition, and system pressure first.
A good lubrication system is not designed to deliver as much lubricant as possible. It is designed to deliver the right amount at the right interval.
Over-lubrication can create its own problems, particularly with bearings and other precision components.


Keep the System Under Regular Inspection


Once the system has been commissioned, regular inspection should become part of normal machine maintenance.
Pay attention to:
  • Lubricant level

  • Pump operation

  • Distributor performance

  • Pipe and fitting condition

  • Pressure signals

  • Lubrication cycles

  • Leakage

  • Unusual equipment temperature or noise

Automatic lubrication reduces the amount of manual lubrication work required, but it does not eliminate the need for maintenance.
In fact, routine inspection is one of the best ways to identify a developing lubrication problem before it causes equipment downtime.

Installing a lubrication system correctly starts with understanding the machine, not simply selecting a pump.
The pump, lubricant, distributor, piping, fittings, controls, and lubrication points all influence how reliably the system will perform. If one part is poorly matched or incorrectly installed, the entire circuit can be affected.
